As a Product Management Team Coordinator you will be responsible for supporting the Product Management department staff with the day-to-day management of the product lines. Reporting to the Director of Product Management, this position has an emphasis on administrative duties however will provide opportunity to learn new skills and grow. The successful candidate for this position is well-organized, should demonstrate a willingness to develop new skills and knowledge, and provide excellent support to a high performing team.
About the role
We want to hear from you today if you can:
- Manage processes related to creation and maintenance of sales support documentation
- Assist with the creation and documentation of monthly sales communications
- Coordinate senior-level product development meetings, including preparing agendas, taking minutes, capturing action items and follow-up dates and distributing documentation to attendees
- Assist staff in preparing and maintaining PowerPoint presentations, VISIO drawings, SharePoint sites and Excel spreadsheets, updating documents and supporting product launch activities
- Assist the product line management team with project deliverables and activities
- Create and/or assist with structuring outward communications concerning product changes
- Create department meeting agendas for multiple weekly project meetings
- Prepare meeting minutes for multiple weekly meetings
- Coordinate scheduling of project-related meetings; make travel arrangements and order supplies
- Order items from external vendors and facilitate payment of all department invoices
- Manage department Intranet site, including product information that is posted on the site
- Carry out other tasks as necessary to ensure timely support for the department
What we are looking for
- 2+ years of executive, administrative, or department assistant experience in a large corporate environment
- BA/BS degree preferred or equivalent experience
- Strong organizational and interpersonal skills
- High proficiency in Microsoft Office applications in particular PowerPoint, Word, Excel, VISIO, SharePoint, and Outlook; also, should have reasonable math skills in order to support department needs
- Proficient in the use of a database system is a plus
- Desire and ability to learn new technologies used for procurement, reporting, time keeping, sales reporting and project management scheduling
- Desire to develop product knowledge and learn the annuity business
- Excellent communication skills, both oral and written, with a proven record in handling calls/requests from senior managers and internal/external customers
- Highly detail-oriented with the ability to succeed in a fast-paced environment with shifting deadlines and priorities
- High level of commitment, sound judgment, great follow-through and initiative
- Demonstrate initiative and creativity for organizational tasks and requirements
- Maintain discretion
- Project a professional demeanor
- Juggle multiple tasks at one time
