Main Purpose of the Role
Responsible for managing and delivering of the administrative duties within the Global Real Estate and Facility Management Team and Property Team in the UK including coordinating with management to identify process and operations improvement opportunities. The broad remit requires a highly organised mind managing team coordination activities, data management and administrative tasks.
Key Responsibilities
Impose information management strategy for TCI in the UK
Understanding of current data held across multiple areas and platforms to inform a consolidated approach.
Standardise process documentation and workflows across multiple tasks
Understanding of processes and defined principles as determined by RWETI Bic Cloud to ensure consistency of approach across UK team against German requirements.
Management of shared drive and SharePoint information
Evaluate information stored and engage with team colleagues to determine the need to retain, the format retained in and whether we are fulfilling obligations.
Management of bespoke deed room database and filing system
Existing database to be interrogated and understood to support the Real Estate team in extracting and filing documentation pertaining to the RWE property portfolio.
Management of warranties & insurance database
Maintaining the database, capturing new and expired policy documentation.
Compliance reporting collation and dissemination
Supporting the Snr Technical Facilities Compliance Manager and wider FM team in compiling information pertaining to quarterly reporting, reaching out to the site wide enablers to provide the relevant documentation in advance of need.
Sustainability information consolidation
Supporting the Snr. Technical Facilities Compliance Manager and wider FM team in compiling information pertaining to future planned reporting requirements.
Team coordination to include training, certification renewal, leave calendars, accommodation & travel
Through RWE’s recognized portals ensure the arrangements for the team are managed as required and reviewed periodically to ensure team members are supported.
Back up role for local raising of purchase requisitions & orders
SAP processing understood to support team in acting as a layer of resilience in meeting our obligations to our supplier base.
Coordination/scheduling of supplier meetings to include releasing agendas, capturing accurate minutes and follow up
Attendance of meetings in person/online and supporting the management team in capturing information in detail for onward sharing with RWE stakeholders ensuring actions are captured and followed up.
