Job Descrption
Wartsila Voyage Services is looking for an experienced Senior Project Manager for full-scale strategic/important/complex project deployment within the Ports Delivery organization and taking over certain administrative/managerial tasks. The successful candidate will be a key player in the delivery of port information systems and needs to be comfortable bridging the dots across various functions and roles, both within and outside the organization. The selected candidate will be part of a highly skilled and proficient team, leveraging resources within Wartsila’s R&D, engineering, procurement, logistics, legal, administrative, and other roles; and also manage complex customers’ and subcontractors’ relationships under the standards and compliance requirements of Wartsila Corporation.
To be successful in this role one must be a natural leader, being able to guide and motivate the teams internally and externally; as well as highly self-motivated and organized, with a keen eye for detail. There is also a need to be highly structured and be able to work with requirements documentation.

The types of projects include:
- Port Management Information Systems
- Vessel Traffic Systems (VTS)
- Coastal Surveillance Systems (CSS)
- Support and maintenance of the above
The project management team consists of up to 20 project managers distributed globally.
Responsibilities:
- End-to-end responsibility for successful project deployment from taking over from Sales until handing over to support/warranty. Main KPIs:
- Maintaining or exceeding the planned project margin
- Timely completion of each of the project phases
- Always maintaining project operational and financial planning in the actual state
- Achieving a high level of customer satisfaction (4.8+/5)
- Responsibility for the most complex and large projects within the organization
- Coaching of newly coming project managers
- Deployment of projects with several project managers in the team, taking the lead of such groups
- Taking the leadership functions as required (control of other PMs’ activity and projects, assigning the PMs to the projects)
- Active participation in process design, the interaction between the functions of the organization, development, and control of the new tools and practices within the organization, leading the interaction with suppliers.
- Getting involved in other PMs’ projects as a “rescue squad” to put critical projects back on track
- Ensure all areas of project management activities from the beginning to the end of the project are managed, including:
- Procurement and contractor management, activity coordination with operational and logistic departments.
- Project scope of supply planning, verification (FAT, SAT, etc.), and delivery.
- Project schedule planning and control.
- Project costing, budget planning and control; and cooperation with the financial department.
- Project communication management includes delivering project expectations, tasks, needs, and progress reports to the project team and the defined stakeholders in a timely and clear fashion.
- Project risk planning, assessment, and control, pre-emptive and corrective actions to mitigate or minimize potential risks impact.
- Identify and resolve issues and conflicts within the project team.
- Identify and manage project dependencies and critical paths.
- Proactively manage changes in project scope, schedule, and cost, identify potential crises, and devise contingency plans. Escalate changes that affect project cost or payment milestones to Project Sponsor, and plan countermeasures.
- Close project, conduct project evaluation, identify and report most successful and unsuccessful project elements for knowledge base.
- Adhere to internal company and functional policies and procedures.
- Project technical specification and scope of supply review.
- Identification and evaluation of technical solutions, preferred models, and vendors for 3rd party equipment that is to be used within the scope of supply.
- Performing customer support by email, phone, and on-site participation in customer visits.
- Performing quality control of completed jobs.
- Continuous improvement of professional competence.
- Follow the health and safety requirements of Wartsila and/or locals, whichever applies
- Follow Quality Management system requirements.
- Work according to the Commercial Project Management process adopted and utilized by Wartsila, using appropriate tools.
- Assist the Sales Manager in reviewing a competent project offer, specifically focused on the technical solution, scope of supply, necessary resources for project deployment, schedule, risks, and cost.
Skills and requirements:
- Solid and demonstrated (5+ years) project management experience within software/system integration/maritime.
- Result-oriented mindset, dedication, and commitment to achieving the company goals.
- Excellent communication skills demonstrated multicultural communication experience.
- Advanced level of English language, including technical English
- Readiness for business trips as required.
- Strong business analytical skills, understanding, capturing, and correctly interpreting the customer's requirements and workflows.
- Solid technical skills, proven track of communication with engineering/SW development departments.
- Readiness to work extra hours and adapt to time zone differences.
- Knowledge of project management methodologies and tools (Kanban, Scrum, MS Project, etc.)
- Knowledge of second/third language (preferred: Spanish, French, Arabic, Chinese)
- PMP® certification
- Experience/knowledge in port operations.
