JOB SPECIFICATIONS:

 

  • Minimum 2 years experience as a sales coordinator or in other administrative positions
  • BSc/BA in business administration or relevant field
  • Good computer skills (MS Office)
  • Proficiency in English, Arabic is a plus 
  • Well-organized and responsible with an aptitude for problem-solving
  • Excellent verbal and written communication skills
  • A team player with a high level of dedication

 

FUNCTIONAL COMPETENCIES AND RESPONSIBILITIES:

 

Please note that this is not an exhaustive list of everything that needs to be done. MELIA DESERT PALM DUBAI employees always find new ways to look after the business, their guests, and their colleagues. Within this, the key responsibilities for this position are:

 

  • Schedule appointments, maintain calendars, plan meetings (onsite and offsite), make travel arrangements, and coordinate related activities to ensure smooth and uninterrupted business.
  • Communicate all business-related tasks with colleagues, guests/clients, and third parties professionally and courteously.
  • Screen calls and messages with care and accuracy.  Able to distinguish and handle high-priority items and set aside unimportant ones.
  • Files reports, correspondences, contracts, and other relevant business documentation.
  • Reads and routes incoming mail; Handles general queries (on top of own email address, maintains the general sales emails).
  • Maintain confidentiality at all times and on all matters; access to confidential and sensitive information, requiring ongoing discretion and secure information management.
  • Monitors departmental collaterals and office/stationery supplies and reorders when necessary.
  • Monitors current status of department work to resolve issues within the scope of authority and/or notify appropriate party for resolution, and inform supervisor of operational problems.
  • Maintains and compiles various departmental financial, human resource, and statistical reports and logs.
  • Preparation and tracking of purchase orders

Is well updated on:

  • Hotel facilities and nearby sights of interest and importance (i.e. hospitals, stations, tourist sights).
  • Hotel standards of operation and departmental procedures.
  • Accepted methods of payment by the hotel.
  • Hotel’s credit policy.
  • Records minutes and notes and commitments made by Managers or staff during sales meetings and arranges for implementation and/or follow up.
  • Event planning to include support for large meetings, off-sites and team motivation events.
  • In frequent contact with all the levels of executives, managers, employees, parent company and externally with the customers and distributors.
  • Administer and coordinate all sales functions required for the solicitation and servicing of corporate business requiring guest rooms and public space for meetings, conventions, exhibitions, conferences and any other private or public event using the Hotel's facilities.
  • Conducts site inspections of the property and facilities/services to potential clients.
  • Files all Sales & group bookings in a systematic order for easy referral.
  • Advises the Director of Sales & Marketing of sales efforts progress towards the achievement of targets planned.
  • Direct Sales team members to contact potential clients and follow up on leads.
  • Establish department procedures on files, assignment of sales calls and leads, follow-ups.
  • Coordinates sales blitzes in designated geographical zone/s.
  • Anticipates and prepares materials needed by the Managers for conferences, correspondence, appointments, meetings, telephone calls.
  • Assist the Sales & Marketing Manager in establishing and maintaining close contact with local, national and foreign journalists to maximize positive media coverage.
  • Assist the Sales & Marketing Manager in sourcing sponsorship from various companies, banks, airlines, etc. for promotions.
  • Assist to manage all press releases and maintain a constant supply of articles for the media partners.
  • Under the guidance of the Director of Sales and Marketing, manage and implement all Marketing activities with direction from Melia Desert Palm Dubai brand marketing team, including but not limited to:
  • Creation and print of collateral (such as letterhead, use of logo, brochures)
  • Promotions and packages
  • Photo-shoots
  • Social Media
  • Ensure picture storage and distribution systems are maintained.
  • Provide content and images for websites according to Corporate Identity Guidelines.
  • Ensure content and photography of 3rd party websites is maintained.
  • Oversee all collateral management – sales, in-room, F&B, and always liaise with printers/creative agencies where necessary with strict adherence to brand guidelines.
  • Assist to coordinating and hosting group/individual media familiarization trips.
  • Ensure responsibility to capture accurate client data base/guest profiles, creatively using this in line with the privacy expectations of our clients.
  • Keep up to date with the latest developments in the hotel including all activities, promotions, and rates of the hotel.
