This position is hybrid with 2-3 days in the Encino office per week. 

The Administrative Assistant will be responsible for administrative support to the tax leadership team. Responsibilities will include, but are not limited to, the following:

  • Handle general administrative tasks for the leadership team:  correspondence, filing, database work, calendar maintenance
  • Act as a liaison for team members, schedule meetings and calls with clients or outside advisor personnel
  • Process mail, highlight action or important items, attach relevant files or information, and respond to inquiries as necessary
  • Client onboarding and maintenance, including preparation of engagement letters, set-up in time and billing system, preparing billing reports, and invoicing
  • Proactively follow up with clients to ensure timely collections
  • Oversee client project tracker and tax return processing (ensure returns are submitted, processed, and accepted by the relevant agency)
  • Maintain knowledge of Firm policies and procedures and answering, refer or directing requests and inquiries to the appropriate people
  • Various other duties as assigned

To be successful, these are the skills and experience you will need:

  • Strong work history with 3+ years of related experience
  • Excellent written and oral communication skills
  • Intermediate level or higher proficiency in MS Word, Excel, Outlook; Power Point & Adobe Acrobat a plus
  • Professional demeanor and ability to interface with partners, managers and clients
  • A high level of personal integrity and professional ethics
  • Strong interpersonal skills; a team player
  • Must be assertive and able to speak up when necessary and ask questions as appropriate
  • Demonstrated ability to approach challenges with flexibility and a “can-do" attitude
  • Superior organizational skills with an exceptional attention to detail
  • Ability to prioritize and manage multiple projects, work quickly and efficiently under pressure
  • Forward-thinking with the ability to take initiative and to stay a step ahead
  • Experience in public accounting or other professional services firm (law firm, consulting, banking) - preferred

This salary range is specific to the state(s) listed and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill set and education; experience and training; licensure and certifications; and other business and organizational needs. A reasonable estimate of the range for this position is $65,000-$83,000 plus overtime.
