Summary: 

Child Mind Institute is seeking a highly skilled and dependable individual to join our team as a Senior Staff Associate for our clinical program. The Senior Staff Associate is responsible for managing a team of staff associates to ensure our patients receive the highest quality care. The Senior Staff Associate also provides administrative support to clinicians including the development and maintenance of the clinical program, and serves as a liaison between our clinicians and their patients and families.

Reporting to the Clinical Operations manager, this is a non-exempt, full-time position located at our San Mateo location.

Responsibilities: 

  • Manage and supervise a group of Staff Associates including regular performance evaluations, career development support, training and hiring
  • Participate in clinical operations and decision making 
  • Provide administrative support to our clinical team
  • Approach new patients for consent to participate in Child Mind Institute’s research initiatives 
  • Manage clinicians' calendars, ensuring efficiency of clinician time, and schedule appointments in the electronic medical record (EMR) system
  • Facilitate the flow of phone and email communication between clinicians and their patients and families
  • Act as the point person for patients and their families, and support them throughout the treatment experience
  • Collect initial patient information, perform intakes and coordinate evaluations with the appropriate clinician
  • For psychiatrists, coordinate all patient prescription transactions, interfacing with pharmacies and insurance companies to ensure prescriptions are filled and patients are reimbursed
  • Manage high priorities and multi-task in a fast-paced work environment
  • Resolve urgent, sensitive, and confidential issues with discretion and integrity, and strictly protect personal health information 
  • Assist with training of new support staff and provide team coverage when necessary 
  • Other duties as assigned

Qualifications: 

  • Bachelor's degree and at least 2-4 years of relevant work experience
  • Strong interpersonal, communication, and customer service skills
  • Excellent judgment and creative problem-solving skills, including conflict resolution
  • Ability to appropriately handle sensitive information with discretion
  • Professional demeanor and attitude; ability to interface with families as well as senior leadership, clinicians, and staff
  • Self-starter and team player, able to establish and maintain effective working relationships
  • Thorough, accurate, and conscientious about assignments
  • Positive attitude, energetic, and interested in working in healthcare
  • Prior experience in an administrative role preferred

The salary range for the position is posted. Factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations affect the salary offered within this range. In addition, this salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
