Roving Detained Property and Crime Filing Assistant at West Midlands Police

Job Descrption

In this role, you will support the roving detained property and crime filing supervisor in maintaining the local detained property and crime filing holding stores.  You will oversee the temporary storage and transfer of detained property and crime files within LPAs, collaborate with Facilities Management in the disposal of flammable and hazardous substances in the provision of high quality, effective and efficient support to the operational policing of the force. Supporting the Estates Management Team with the detained property and crime filing across the estate. The role is part of the Corporate Asset Management department within the Facilities section which comprises of printing services, uniform supply and secure storage.

You will be tasked daily by the Team Leader to support Central Detained Property across the Force’s Local Policing Units. 

  • Maintaining the upkeep of the local Detained Property and crime filing holding stores Force wide with customer experience being at the centre of the services delivered 
  • Support the Estates Team with the clearance and processing of detained property, various files and tapes across the estate 
  • Work will include elements of handling hazardous items, valuable items and controlled substances 
  • Work to the health and safety guidelines and in line with the detained property policy 
  • Transfer of detained property, crime files and tapes to Central Store 
  • Preparing detained property, crime files and tapes for transport and external storage 
  • Receiving, sorting, disposal and destruction of detained property, various files and tapes 
  • Updating property and related systems as well as some paper records 
  • Responding to general requests and enquiries from internal customers by email, telephone, letter, CX portal and in person including arranging the return of items to the owner 
  • Working closely with a number of internal and external suppliers as part of day-to-day role. i.e. hazardous waste contractor, Facilities team, Estates Management team and officers
  • Working to policy, legislation and guidance (eg CPIA, Data Protection Act 2018, MoPi) 
  • Working collaboratively as part of the wider team 
  • The role will involve moving between various sites on the WMP estate as duties require 
  • Actively work with customers to support with new ways of working

 

Essential Experience 

  • Experience working in a logistical role 
  • Experience of administrative duties
  • Good working knowledge of Health and Safety 
  • Good customer service skills in a frontline role 
  • Ability to follow set processes, procedures and policies 
  • Effective team working experience 
  • Ability to work to tight deadlines.

 

Desirable Experience

  • Exerience using internal police system, i.e. Connect, CX portal 
  • Experience and knowledge in the Connect system 
  • Experience of working in customer services and/or stock control environment 
  • Experience of working with Detained Property, Tape Libraries and Crime Files 
  • Knowledge of relevant legislation and guidance, CPIA, MOPI, PACE, Data Protection.

 

Essential Skills

  • Have effective written and verbal communication skills. 
  • Possesses a good level of numeracy to effectively deliver the requirements of the role. 
  • Able to manage and prioritise their own workload. 
  • Must be flexible and willing to travel force wide 
  • You should be a clear communicator with excellent verbal and written skills

  • Be goal orientated and outcome focused 
  • Be inquisitive, flexible and adaptable

Desirable Skills 

  • Able to work without direct supervision 
  • Experience in completing risk assessments 
  • Knowledge of the storage and disposal of hazardous substances 
  • Experience using Microsoft Teams 
  • Have a full driving licence

 

Hours - This role is full time and therefore subject to standard contractual hours (36.5) but flexible working arrangements will be considered and accommodated wherever possible.

The post holder will be expected to travel force wide in an agile manner in accordance with the demands of the role.

Vetting - Successful applicants will be required to pass Recruitment Vetting and Counter Terrorism Clearance scrutiny prior to commencing their role, this will include a full background & financial disclosure as part of the vetting process.

Medical - Appointment to this role will be dependent upon successfully medical checks, which may include a drugs test and if required a fitness test
