Job Description

We are looking for a bright, dynamic and talented individual who will play key role in driving our growth and culture – a brilliant PA to join us on this journey.

This is a high impact, high visibility position supporting the Managing Director and Chief Financial Officer.

Key responsibilities include:

  • Managing and maintaining key communication networks and relationships, building excellent rapport with our employees, clients and Groupe networks.
  • Understanding and ensuring compliance with all relevant internal and external rules, Publicis Groupe regulations and procedures that apply to the conduct of the business, setting up meetings and knowing key players
  • Operating within policy and seek to use the most cost-effective solutions e.g., travel/expenses requests are within policy and budget, encourage greater use of video conferencing as an alternative to travel, managing room bookings, etc.
  • Diary management: organising meetings across multiple time zones responding to fast-evolving business needs
  • Project Management: working with operations to ensure smooth running of internal processes
  • Supporting meeting preparation; presentation documents, agenda coordination
  • General office management, keeping the office looking like a vibrant, exciting place to work, refreshing art work, boardroom styling, office snacks and organising Thursday lunch vouchers.
  • Creation of purchase request forms for all internal AOU
  • Booking travel and entertainment
  • Assisting with expenses and Credit Card Management
  • Organising & Coordinating office events including the Xmas Party, team meetings & virtual social events
  • Reporting into the EA at MSL and across agency collaboration (Salterbaxter/MSL)

Qualifications

Personal qualities and skills: 

  • Demonstratable experience as a team assistant or PA
  • Experience within an agency or consultancy is ideal but not necessary
  • Interest in Sustainability ideal
  • Proactive, organised, and meticulous - keep promises, meet deadlines, and solve problems
  • Professional in outlook and a proven team player
  • Excellent attention to detail
  • Excellent written and verbal communication skills, able to respond and adapt to a range of situations and contexts
  • Comfortable working in a small and ambitious team
