Job Description

  • Responsible for three senior leaders at Visa who each manage complex client accounts
  • Schedule meetings and appointments, manage travel itineraries and travel bookings
  • Arrange and manage internal and external client meetings including room bookings, AV needs, catering, and meeting planning activities, and liaising with assistants from other teams and organisations
  • Manage corporate events such as client events, team appreciation events, or client hospitality events
  • Manage and submit expense claims
  • Provide Purchase Order and Invoice support to broader teams
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients (at times)
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Reporting to the Head of Business Development working closely with other PAs and EAs to provide cover for departmental admin

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications

Basic Qualifications
Associate: Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications
•Must be able to exercise good judgment regarding information which may be confidential
•Must have excellent communications skills both verbal and written in English
•Ability to operate effectively and efficiently in a challenging, fast-paced environment
•Customer service-focused with ability to work collaboratively with others
•Ability to multi-task and prioritize work with attention to detail.
•Solid planning, organizational and written and verbal communication skills
•Experience using Microsoft products including PowerPoint, Excel, Word and Outlook
•Strong organizational, project management and problem-solving skills with excellent interpersonal skills
•Friendly and professional demeanour and a strong team player
