We’re looking for a Legal Team Coordinator to join our integrated Legal & Compliance function, to provide one-stop solutions in a fast-moving, high-growth, high-profile Group.
The role
The Legal Coordinator plays a pivotal role in managing the Ombudsman process runs smoothly from initiation to resolution. This position involves liaising with various internal stakeholders, including IT, Compliance, Finance, Commercial, and Customer Service, to ensure seamless coordination and compliance with regulatory requirements. The Legal Coordinator is responsible for overseeing tasks related to case management, meeting deadlines, facilitating communication among teams, and supporting the legal and compliance functions.
As the Legal Team Coordinator your day-to-day responsibilities will include:
Ombudsman Process Management:
- Establish and maintain streamlined processes for Ombudsman cases.
- Ensure timely resolution of cases while adhering to deadlines.
- Act as the primary point of contact for internal teams and stakeholders.
- Facilitate quick intake and processing of Ombudsman cases.
Compliance Team Support:
- Maintain accurate trackers for compliance and ADR/SAR cases.
- Allocate cases efficiently based on team capacity.
- Provide necessary support and training to case handlers.
- Ensure timely invoicing and decision-making for cases.
Stakeholder Communication:
- Communicate Ombudsman updates clearly to relevant stakeholders.
- Provide regular case updates to the finance, Customer Service, and Data & Insights teams.
Calendar and Meeting Management:
- Efficiently manage team calendars and meeting schedules.
- Coordinate office attendance for visibility and collaboration.
- Prepare materials for meetings and huddles as needed.
Reporting and Documentation:
- Generate and distribute monthly reports on cases.
- Maintain organised records for audits and reporting.
- Ensure timely submission of board packs and other reports.
Financial Administration:
- Authorise invoices and raise POs promptly.
- Provide audit-related information to the finance team.
- Identify opportunities for process improvements.
Task Prioritisation and Tracking:
- Prioritise tasks based on urgency and importance.
- Monitor the wider team workload and adjust priorities as needed.
Sign-off Management:
- Allocate sign-off responsibilities efficiently.
- Develop streamlined sign-off processes.

About you
You'll have a can-do attitude combined with a good work ethic, and a passion for working as part of a multi-functional team.
You must also demonstrate:
- Previous experience in legal and compliance coordination, ideally, you’d have worked in a similar inhouse role
- Strong organisational skills with the ability to prioritise tasks and manage deadlines effectively.
- Excellent communication and interpersonal skills for collaboration with cross-functional teams.
- Proficiency in Microsoft Office Suite and project management tools like Smartsheet.
- Attention to detail and ability to maintain confidentiality in handling sensitive information.
- Knowledge of data protection and other applicable regulations would be valuable.
