Job Description

THE POSITION:

As Facilities Front Desk Associate, you will play a crucial role in ensuring the efficient administration of our warehouse facilities. Your primary focus will be on maintaining a safe and functional workspace for our employees. Leveraging your financial background, you’ll also contribute to budgeting, cost management, and financial reporting related to facility operations.

Front Desk Management:

  • Ensure professional and courteous service at Front Desk
  • Greet visitors, answer inquiries, and direct them to the appropriate departments
  • Manage visitor access, issue badges, and maintain visitor logs
  • Coordinate with security personnel to ensure a secure and welcoming environment
  • Assist employees with general inquiries related to facilities and office services
  • Assist in the administrative functions of training to include room set up, packet assembly and follow up if necessary

Administrative Oversight & Communication:

  • Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, and parking lots
  • Delegate cleaning and maintenance tasks to team members
  • Ensure proper security measures for the workplace, collaborating with on-site security team
  • Collaborate with Facilities Manager administer budget for facility needs
  • Monitor expenses, track costs, and ensure adherence to financial guidelines
  • Manage vendor relationships and train vendors on work orders and billing procedures
  • Handle departmental accounting tasks, including invoice processing

Other special initiatives and cross-functional projects as assigned.

Qualifications

  • High School Diploma or equivalent required; associate’s degree preferred
  • 1+ years proven experience in facilities management, customer service, or a similar role
  • Detail-oriented, organized, and proactive
  • 1+ years experience handling budgets
  • Intermediate knowledge of Microsoft Suite of programs
  • Excellent communication skills and the ability to collaborate with cross-functional teams
  • Bilingual (English/Spanish) a plus
