The Personal Assistant provides full administrative support to three leadership team members liaising regularly with senior management.
This role provides support directly to the leadership team, to ensure the smooth running of the Business Finance office, managing their own time and the priorities of the Directors to maximum effect to allow Business Finance to deliver on its purpose.
What you'll be doing
Manage three leadership team member’s complex diary and daily schedule, ensuring enough time to prepare for meetings.
Leads the prioritisation of the assigned leadership team member’s email inbox, filing emails correctly, and drawing attention to matters of importance.
Develops strong working relationships with stakeholders and regularly connecting to align on priorities and build understanding.
Coordinates the organisation of internal and external meetings across multiple sites and venues, booking the room or venue, facilitating online / virtual calls, arranging catering, seating plans, and arranging the clear up at the end of the meeting.
Acts as the primary point of contact / call management for the office and virtual office.
Screens and filters calls and visitors, acting as a gatekeeper.
Delivers high quality support to meetings, such as preparation of reports and agendas, formatting and producing high quality presentations and taking minutes.
The skills you'll need
Confidentiality: diplomacy and discretion in keeping sensitive strategic, commercial and personnel matters - confidentiality is paramount
Time management and planning: strong skills in planning, organisation and time management, strong grasp of detail, working to deadlines and be able to identify opportunities for continuous improvement
Autonomy: as a self-starter you respond quickly to challenges, working independently using your initiative and seeking guidance only when necessary
Emotional intelligence and self-awareness: Awareness of how and when to communicate to help improve relationships our outcomes
Relationship building: able to present a strong professional front, build strong relationships and develop wide networks internally and externally to exert influence on outcomes, get work done through others, without direct authority
IT proficiency: experience using MS office
Expert level written and verbal communication skills
