To provide a first class administrative, organisational and support service to CAVU experiences across our airports
Develop, implement and monitor best practice in all areas of administration across CAVU experiences
Assist in all areas relating to Food and Beverage purchasing, ordering, invoicing and payment procedures
Support in all areas relating to HR admin across the estate, as and when required
Manage supply of all delivery notes and invoices to ensure that they are all receipted and recorded in line with our agreed process
Support the Kitchen Managers and General Managers to sense check any stocktakes, amend and correct to ensure accuracy ahead of being sent to finance
Maintain the loyalty card tracker programme and ensure codes are sent to guests
Gather all overtime sheets and month end and cross check against rotas before adding to CSS
Support in building rota schedules ahead of the duty and kitchen managers assigning shifts, ensuring it captures all approved leave
Uploading all rota schedules into Microsoft Teams withing agreed deadlines ahead of publishing to staff. Making any changes requested by managers to these rotas including adding of new employees
Order, collect and dispatch any stationary/printing requirements requested by the managers
Set up all IT and folder access for all new employees to ensure smooth onboarding. Provide any details to the managers
Be confident in the use of ID gateway and an authorised signatory to apply for all Temporary visitors passes (TVP)
Liaise with third parties such as staffing agencies, maintenance contractors and F and B suppliers regarding any TVP requests to allow site visits. Take full accountability of submitting and providing these passes to the relevant teams when required
Liaise with staffing agencies to ensure all staffing requirements are requested weekly and that Microsoft teams is updated with information provided by staffing agency
Through Flow and CSS ensure all colleagues are up to date with training through use of weekly reports
Continually look to improve and review all current and future processes relating to all areas across CAVU experiences to ensure efficiencies and best practice are been driven forward throughout the business
Any other ad hoc admin duties as and when required
About you:
We are looking for someone who has/is:
Experience of an electronic purchasing system
Intermediate /advanced knowledge of Microsoft packages: Teams/Word / Excel / PowerPoint / Outlook
Good organisational, time management and interpersonal skills that can confidently communicate and present to management
Ability to produce accurate work under pressure and to pay attention to detail
A good team player but who is also self-directing and self sufficient
