Job Summary

Coordination of the preparation of cytology specimens for review by the cytotechnologists and pathologists. General supervision and maintenance of the cytopreparatory area.

Minimum Qualifications

Minimum Education: Associate's Degree
Minimum Years of Experience: 6 Months of general office experience;
6 Months of on the job training in cytopreparatory techniques.
Substitutable Education & Experience: High School Diploma with 3 Years of Experience
Required Certifications/Licensure: None
Required Training: Computer experience required; Background in medical terminology.

Essential Functions

  • Performs at a high role-model standard, all the duties performed by a cytology assistant with the working knowledge and facility of all steps of routine and special specimen processing and slide preparation.
  • Medical technologist-type operation, calibration and maintenance of the autocyte prep system, centrifuges, and other cytology instruments.  Troubleshooting all equipment problems.
  • Maintaining an up-to-date and efficient filing system for reports, logs, batchlists, slides, etc.
  • Mailing/faxing or and/or distributing reports.
  • Instruction of cytopreparatory personnel in all cytopreparatory procedures, operation of equipment and LIS functions.
  • General maintenance and disinfection of work area.
  • Preparation of all types of cytology specimens for microscopic review including physician assistant-type assistance with the collection and rapid processing of FNA specimens including staining, coverslipping, labeling, and presentation of slides and paperwork to the cytotechnologists and pathologists.
  • Documentation of stainline maintenance and equipment charts.
  • General maintenance, adjustments and temperature/gauge reading of instruments/equipment and documentation as required.
  • Preparation of reagent solutions as needed, e.g. 95% alcohol, AGAR preparation.
  • Printing previous history reports and checking H.I.S. computer for pertinent clinical history.  Matching reports to requisitions.
  • Inventory of supplies; ordering of supplies; replenishing stock. Maintain and update inventory supply system. Place computer orders.
  • Assist with the calculation and preparation of monthly statistics using the computer to make spreadsheets and charts.
  • Responsibility for delegation of workload among available personnel on a day-to-day basis.  Scheduling of cytology assistants to provide optimum coverage and efficiency.
  • Coordinating the preparation and distribution of all cytology specimens. Ability to clearly communicate with cytology supervisor and pathologists and assist in problem resolution as directed, to include ability to clearly communicate back to the cytotechnologists and cytopreparatory assistants.
  • Storage and disposal of cytology specimens.
  • Skillfully and diplomatically manages the multiple daily interactions between the physicians’ offices, nursing staff and the cytopreparations staff.
  • Scheduling CT and ultrasound-guided FNA’s and all pathologist-performed FNA’s. Nurse-type assisting, instructing and preparing patients on whom FNA procedures will be performed.
  • Retrieving slides and reports as requested.

Duties & Responsibilities

  • Performs assigned duties efficiently and effectively in a timely organized manner.
  • Performs all other duties as assigned by authorized personnel or as required in an emergency, e.g. fire or disaster.
  • Preparation of monthly “abnormal” lists and follow-up letters.
  • Responding to telephone calls for test results, specimen collection information, etc.
  • Telephoning physicians’ office or nursing staff for additional information on incomplete requisitions.
  • Maintains an optimistic and professional image and exhibits excellent customer relations to patients, visitors, physicians, and co-workers.  Shows courtesy, compassion and respect.
  • Conforms to service excellence policy and “house rules.”
  • Observes all hospital and departmental safety policies and practices.
  • Revenue responsibility such as applying appropriate charge codes.
  • Receiving and extremely accurate accessioning of cytology specimens (order and medical date entry.)
  • Exhibits thorough understanding of computer functions needed for daily use.
  • Troubleshoots and resolves problems as situations require. Notifies system manager of significant problems.
  • Ensure Hazardous Waste or Hazardous Waste Pharmaceuticals are discarded, stored, and managed with other compatible waste streams in containers that are properly labeled and closed prior to being shipped offsite for proper disposal.  Initial RCRA training is received within 6 months of the hire date and continuing with annual RCRA training.
  • Result entry (transcription of cytotechnologist and pathologist final diagnoses into report format) and encoding of results for future reference.
