General Responsibilities

Responsible for receiving and responding to email correspondence, processing invoice payments and requisitions using SAP. Complete and manage various difficult and complex day-to-day office tasks under limited supervision. Ensure that security office operations are efficient and add maximum value to the organization. Collaborate with the management team to carry out requirements supporting security efforts.

Essential Job Functions

  • Assist the Security Manager in identifying, developing and enforcing security programs, policies and procedures to create and sustain a secure and safe culture in the organization; supports the security management team with various administrative tasks
  • Act as the liaison with local law enforcement and emergency agencies
  • Coordinate internal and external security education briefings and training for staff to support the organization's strategy
  • Assist in developing security plans to meet contractual requirements and workflow procedures to ensure high efficiency by maintaining files and records with effective filing systems
  • Assist in preparing the department's annual budget for departmental project needs; monitor budget and inform management of irregularities
  • Maintain necessary documentation for internal or governmental regulations and standards Provide documentation to internal or external auditors as needed
  • Manage the organization's badging system, including creating ID card templates, photographs and issuing ID cards to employees, contractors, and clients This effort must be in keeping with the organization's security, compliance, and safety
  • Operate various computerized record-keeping and document processing systems to input and retrieve data; operate software for creating badges, maintain records; export system reports for auditors as requested external and internal
  • Answer telephones and respond to inquiries from external and internal clients; schedule meetings and appointments; make travel arrangements as needed; greet visitors when they arrive in the office; maintain rapport with customers external and internal; and assist in vendor relationship management
  • Assist in directing and coordinating activities, including the execution of special projects involving external and interdepartmental relations
  • Notify the manager of safety and security-related problems and may assist with the research and gathering of information for investigations
  • Collaborate with BWW engineers in ordering and reviewing contract labor background checks before approving or denying badge access
  • Develop ways to identify which management team members have completed required online National Incident Management System NIMS training classes classes; create and maintain a detailed spreadsheet reflecting courses taken and certificates received for each management team member to communicate to ensure classes are completed
  • Coordinate the security for board and committee meetings by working with local law enforcement to ensure proper staffing and posting of resources Attend the meetings to help support and assist the security management team with monitoring outside security services; assist with security services provided relative to external and internal customers; prepare manual requisitions for security services provided during meetings
  • Prepare requisitions in SAP for all invoices; once goods have been received or services provided, approve items for payment processing in SAP
  • Review, approve and provide monthly timesheets for security services contract employees to Accounting for payment processing
  • Assign and review staff schedules and work
  • Conduct investigations and maintain department confidentiality of sensitive information
  • Perform all work safely in accordance with established safety policies and procedures Comply with all safety and health standards and guidelines issued by management

Education

Bachelor’s degree or equivalent combination of education and experience required

Experience

Three (3) years of security-related experience. Excellent verbal and written communication skills; strong PC skills (proficient using Microsoft Word, Excel, and PowerPoint); advanced typing skills; excellent attention to detail.

Certificates, Licenses, Registrations:
• Valid driver’s license required
• National Incident Management System’s (NIMS) 100, 200 and 700 certifications required or able to obtain within 90 days of the hire date
• ASIS International certification (APP, PSP, PCI, CPP) preferred
