Job Title : Manager Access Svcs Job Summary :
Manages and coordinates provider appointment scheduling, registration and entry of patient demographics. Develop, implement and monitor of all general access processes for STEP. Responsibilities include budget preparation, expense, supply and inventory control. Hires, counsels, develops, evaluates and terminates team members accordingly. Effectively interacts with and involves physicians, nurse practitions and other healthcare professionals as appropriate in planning and implementation of operational plan. Integrally involved in strategic planning for the areas of responsibility. Assists in development and implementation of performance standards, patient satisfaction initiatives, team member satisfaction initiatives and stewardship of company resources; accountable for overall success of assigned areas including process improvement and efficiency, quality of care and cost effectiveness of operations. Reports to the Director of Business Services.
Experience, Education, Training, Special Skills, and Licensure :
5 years professional level experience with at least three in healthcare management. 10 years supervisory experience with demonstrated success of leading multiple employees.
Bachelor's Degree or equivalent years
Epic trained
Demonstrated leadership skills including effective communication - both written and verbal. Strong computer skills including Word, Excel.
Job Function :
Management and Daily Operations
Interviews, coaches, counsels staff to ensure the highest quality of care is provided to the patients. Coordinates with HR, peers and leadership to insure appropriate staff are hired and that all coaching/counseling is performed within established parameters; in-voluntary terminations are approved by leadership prior to action.
Trains and holds staff accountable to ensure that all scheduling, registration and related process are completed within established timeframes and in accordance with established policies.
Maintains appropriate controls to ensure compliance with Federal/State Regulations and practice policies to include HIPAA, Privacy, Cash Controls, Safe Environment.
Ensures appropriate staffing to provide safe, quality care to patients. Shifts staff to cover extended hours of operation and while maintaining less than 2% overtime within the department.
Ensures staff is trained to perform safe, quality care to patients and required staff education is timely. Coordinates training with subject matter experts in other areas such as Coding, Quality, Billing, DON, Educator as appropriate. Provides documentation as required of all training.
Delegates responsibilities over scheduling, registration, and certification processes to appropriate team members. Provides guidance regarding duties and develops processes/policies related to areas of responsibility. Assists team members in developing and implementing short and long term work plans and objectives for relative job duties.
Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
Develops and implements processes according to EMR and PM requirements. Monitors effectiveness of processes through data and other performance metrics.
Works closely with provider scheduling coordinator to ensure that all schedules are maintained appropriately, working toward schedule optimization, efficiency, and excellent customer service.
Performance Improvement and Quality
Promotes the quality and efficiency of his/her own performance by remaining current with the latest trends in field of expertise through participation in job-relevant seminars and workshops, attendance at professional conferences, and affiliations with national and state professional organizations.
Trends data and makes operational changes for improvement in compliance with the practice quality improvement initiatives. Reports data timely and accurately.
Integrates the Lean Six Sigma process improvement strategy into daily operational flow and proactively streamlines processes; develops departmental workflow in and support of the LSS processes.
