Job Summary:
We are seeking a highly organized and detail-oriented Legal Secretary to support our legal team. The Legal Secretary will be responsible for providing administrative support, preparing legal documents, managing correspondence, and maintaining records in a professional manner. The ideal candidate will have a working knowledge of legal processes and terminology, excellent communication skills, and the ability to handle confidential information.
Key Responsibilities:
Administrative Support:
Provide administrative support to attorneys, including scheduling appointments, coordinating meetings, and managing calendars.
Handle phone calls, emails, and correspondence for the legal team.
Maintain and organize physical and digital files for easy retrieval.
Document Preparation:
Draft, format, and proofread legal documents such as contracts, briefs, pleadings, and agreements.
Assist with preparing legal filings and submissions to courts, clients, and regulatory... agencies.
Maintain document version control and update as necessary.
Meeting Support:
Record and prepare detailed minutes of meetings, ensuring professional and accurate documentation.
Assist in preparing agendas, presentations, and reports for meetings and hearings.
Follow up on action items and tasks from meetings.
Legal Research & Compliance:
Conduct basic legal research, under attorney supervision, to gather relevant case laws, statutes, or regulations.
Ensure legal documents comply with legal requirements and company policies.
Assist with compliance tracking and filings for regulatory deadlines.
Client & Case Management:
Communicate with clients, courts, and other legal professionals regarding case matters and scheduling.
Manage and organize case files, maintaining confidentiality and security of sensitive information.
Monitor case deadlines and ensure timely filings and actions.
Billing & Financials:
Assist in managing billing records, including tracking time and expenses for legal team members.
Liaise with finance team to ensure prompt processing of invoices and payments related to legal services.
Qualifications:
Education:
Diploma or degree in Law, Legal Studies, or a related field is preferred.
Experience:
Minimum of 2 years’ experience as a legal secretary, paralegal, or in a similar administrative role within a law firm or corporate legal department.
Skills:
Strong understanding of legal terminology and processes.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal case management software.
Excellent organizational and time management skills with attention to detail.
Superior written and verbal communication skills.
Ability to work under pressure, prioritize tasks, and meet deadlines.
