Salary: £31,000 per annum plus company benefits

Location: London, W1J 0AH

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, shifts between 7am and 6pm with 1 hours unpaid lunch break

Work model: Fully onsite

Purpose of role

As a Office Assistant you will have the opportunity to greet visitors, make office supply arrangements, schedule meetings and appointments, and provide excellent... administration support to the office for our client based in London.

A successful Office Assistant should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They should be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This is a hands-on role and will involve working alongside team members to deliver an overall exceptional service to our clients.

Key responsibilities
• Greet clients and visitors to the office with warmth and professionalism, notify employees of visitor’s arrival when necessary
• Diary management and planning, including meeting room bookings
• Setting up meeting rooms and organising catering (hospitality)
• Coordination of mail and couriers
• Ordering stationary supplies and catering
• Offer IT and admin support and assistance
• Prepare documents – scanning, printing and binding
• Sorting and distribution of incoming mail – scanning of all incoming documents using the in house post scanning software
• Processing outgoing mail, including franking letters, organising couriers
• Organising and storing the hard copy / original document post storage in line with the client procedures
• Process expenses, book hotel and travel arrangements
• Client billing
• Electronic payments and bank verifying
• Manage the filing/archiving of deeds
• Assisting with other legal admin tasks when required
• Support the Office Manager with any other ad-hoc requests
• Attention to detail with an emphasis on accuracy and quality

Personal attributes
• Experience as a PA or in the Legal sector is desired
• Flexible and professional approach
• A personality that brings positive energy to all areas of the operation
• A natural passion and desire to create a positive experience for every visitor
• Ability to communicate at all levels of the business both internally and externally
• Be able to use your own initiative with a high level of attention to detail and accuracy
• To be able to prioritise and work to deadlines
• Excellent knowledge of databases and tracking systems
• Able to work independently and in a team
