Personal assistant tasks for the COO, including, but not limited to day-to-day diary management, extensive email and inbox management and organizing both internal and external meetings
Liaising with senior internal and external stakeholders
Ensure that the COO is on time and prepared for all meetings and events
Acting as gatekeeper for the COO, dealing directly with demands for general information
Main point of contact for queries for the Department
Preparation and editing PowerPoint presentations, Excel spreadsheets and Word documents
Process invoices and raise expenditure requests when necessary
Review and approve expenses in accordance with Company Policy and holiday requests from direct reports.
Weekly reporting as required
Organizing complex diary and travel itineraries
Undertaking projects on a regular basis.
Comfortable with being available outside normal office hours should the need arise.
Manage some ad-hoc personal tasks such as bookings, invoices, and general administration.
Education (degree) and professional experience required:
Educated to a degree level or similar
A minimum of five years’ experience in a similar PA/EA position
Experience of working in the software/technology industry an advantage
A knowledge of Finance/Operations at a senior level is strongly preferred
Excellent written and verbal communication skills
Competent with Microsoft Office packages, particularly Word and Outlook
Experience of supporting remote, global leaders is strongly preferred
Ability to manage multiple tasks in a timely manner

Dedicated to the quality and accuracy of projects from inception to completion
Reliable, trustworthy and ability to maintain confidentiality at all times
Can manage a heavy workload with strict deadlines
