Job Description
Regional Executive Assistant - Europe
Hybrid - London, Farringdon
Full Time OR 3 days part-time
The Regional Executive Assistant is a key member of the Regional Leadership org and will be supporting the SVP Europe and the Europe Leadership team based in London, Utrecht, Paris and Berlin offices. You will work alongside these leaders and teams as an Executive Assistant as well as Program Manager of key initiatives. You will be involved in, and responsible for, business operations and developing new skills. This position could be an ideal opportunity for someone keen to return to the workplace on a 3 days per week part-time basis.
- The Executive Assistant will be directly reporting to the SVP Europe and will work closely with the Head of Operations and Head of HR and the other Europe leadership members.
- Assist organising the meetings for the region by working with other executive assistants in other regions.
- Responsible for communicating with the regional leadership team on updates, agenda items, and assisting with ad hoc projects when needed.
- Prepare the agenda for quarterly, monthly and weekly regional leadership meetings and record minute meetings; responsible for ensuring action items are being executed.
- Assist with coordinating the presentation slides for regular regional meetings.
- Manage the budget and submission of the expenses for the regional engagement activities.
- Manage the relationship with Finance/Payroll/Strategic Sourcing partners and contact with travel agencies.
- Coordinate and facilitate regional engagement events, such as the annual Sales Kick-off, Quarterly Award Dinners, work closely with cross-functional leaders to assist with internal & external events (both virtual and on-site)
- Book travel and manage expenses for SVP Europe.
Qualifications
- 5+ years experience as Regional Executive Team Assistant
- Experience in working as part of a global company operating within different regions and time zones
- Previous experience coordinating engagement activities and budget
- Strong business applications skills including proficiency in (G Suite, Excel, PPT, Slack, etc)
- Experience in maintaining confidentiality and dealing with information that is highly sensitive
- Prioritise multiple tasks seamlessly with impeccable attention to detail
- Exceptional written and verbal communication skills
- Possess a positive, can-do attitude with the desire to take on additional responsibilities
