An exciting opportunity has become available for an Executive Assistant to Chief Commercial Officer, MEA APAC to join our team. This role will be based in Dubai and will be reporting directly to the Chief Commercial Officer, MEA APAC. The Executive Assistant to the Chief Commercial Officer, plays a pivotal role in ensuring the efficient operation of the commercial department and contribute to the overall success of the company. The role will serve as the right-hand person to the CCO, handling a wide range of administrative tasks, facilitating communication, assisting in strategic initiatives, as well as function as a liaison officer between other Senior Executives and senior management teams.
Getting to know the role and your responsibilities:
Calendar Management: Maintain the CCO's schedule, coordinate meetings, and prioritize appointments to ensure efficient use of time.
Communication: Act as a primary point of contact between the CCO and internal/external stakeholders.
Travel Arrangements: Arrange and coordinate travel itineraries, accommodations, and transportation for the CCO, both domestic and international.
Meeting Preparation: Prepare meeting agendas, presentations, and materials. Attend meetings as needed, take minutes, and follow up on action items.
Document Management: Organize and maintain confidential documents, files, and records. Ensure easy accessibility and retrieval of important information.
Expense Management: Track and reconcile expenses, process invoices, and prepare expense reports for the CCO.
Event Coordination: Plan and coordinate company events, conferences, and business gatherings involving the CCO.
Gatekeeping: Screen incoming requests, inquiries, and visitors for the CCO's attention, and prioritize as necessary.
Ad hoc Tasks: Take on any other tasks as assigned by the CCO to support strategic initiatives and departmental goals. Handle a wide variety of activities with discretion and confidentiality.
What we need from you
Bachelor's degree in business administration or a related field preferred.
Proven experience as an executive assistant or similar role supporting C-suite executives.
Strong problem-solving skills and ability to work under pressure.
Detail-oriented and capable of multitasking effectively.
Excellent organizational and time-management skills.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional communication and interpersonal abilities.
Discretion and ability to handle confidential information with the utmost professionalism.
Proactive, detail-oriented, and able to thrive in a fast-paced and demanding environment.
