Residing in Dolby’s London office and reporting to the Senior Manager, Service Operations, the Services Operations Specialist is client-facing and requires strong interpersonal skills and the ability to manage a dynamic environment involving many groups with competing priorities. The position has a strong emphasis on invoicing. The position is responsible for managing the invoicing of services in Rest of World (all locations outside of North America and Canada.) This includes managing the complex invoicing terms of our Dolby Cinema offering, a recurring revenue business model, to invoicing field engineering services related to theatrical content creation and playback (i.e. theatrical film studio room commissioning, cinema audio alignments, rehearsal/premiere screening support.) Working within a small team, the role provides regular backup to other team members by providing field service scheduling duties.   

 

Essential Job Functions:      

•    Create and manage all invoicing-related deal terms, including monthly box office revenue, bi-annual maintenance and annual minimum guarantees included within our Dolby Cinema master contracts and subsequent amendments to ensure invoices are issued correctly and timely,
•    Track and ensure all Dolby Cinema exhibitors in Europe and Asia provide their monthly box office data for invoicing,
•    Onboard new Dolby Cinema exhibitors in terms of customer master set-up and box office reporting,
•    Quality-check and invoice all field engineering service orders for Sox Compliance and compliance with Company’s Global Approval Matrix,
•    Responsible for invoicing revenue for non-field-based services such as Screening Room Hire, Digital Cinema Mastering and SAAS Services, 
•    Independently monitor the status of non-engineering invoices for expiration, renewals, compliance and penalties,
•    Run weekly/monthly audits to ensure all service invoices are created correctly and, if required, troubleshoot system issues,
•    Ensure Services invoicing for Rest of World closes on time for each fiscal month-end,
•    Be the subject matter expert on Services invoicing,
•    Lead internal and external invoicing audits,
•    Perform user acceptance testing when implementing new system functionality,
•    Field client requests for services via e-mail and phone. Where applicable, identify and quote appropriate client services and associated charges,
•    Process Theatrical Content Questionnaires by authorising and invoicing for the use of Dolby technology and services,
•    Provide service scheduling backup by assessing available engineering resources and distributing work assignments to service engineers. Works with management to receive scheduling conflicts,
•    Provide timesheet processing backup by transferring engineering time into SAP, assessing the service provided and, when applicable, closing the service order for revenue recognition and/or invoicing,
•    Perform duties as assigned by the immediate supervisor or any member of the Dolby management team, subject to approval by the direct manager,
•    Perform tasks necessary to complete performance objectives.

 

Education, Skills, Abilities, and Experience Required:

•     Experience in an operational and/or billing role for at least 5 years,

•     Excellent customer services skills with at least 5 years of business and customer services experience,

•     Experience in Windows, including advanced skills in Microsoft Excel,

•     Excellent written and oral communication skills to facilitate successful interaction with all levels of customers, management, and staff,

•     Critical attention to detail and research skills,

•     Strong analytical and problem-solving skills,

•     Ability to work in a team environment with a diverse group of technical, managerial, and administrative staff,

•     Ability to multi-task and work efficiently under pressure,

•     Ability to make decisions independently or with little guidance.

 

Highly preferred:

•     Degree in Business, Administration, Information Systems, or a related field,

•     Experience in SAP, Salesforce and Smartsheet.
